    IDEAL Versicherungsgruppe

The IDEAL Versicherungsgruppe, headquartered in Berlin, operates in the life insurance and property and casualty insurance sectors. For more than 100 years, the company has placed the interests of its customers at the center of its operations. As an innovation leader in the industry, IDEAL was the first insurer to introduce private long-term care annuity insurance in 2002 and remains the market leader in this sector to this day. The transparent IDEAL UniversalLife insurance account is unique in the German insurance market.

Each year, IDEAL processes more than 500,000 documents totaling approximately one million pages through its input management system—including handwritten letters, scanned documents, faxes, emails, and medical records. With OmnIA (formerly smart FIX), e-invoice pro (formerly smart INVOICE), the Cognitive Classifier, and a deep-learning-based OCR from Insiders Technologies, IDEAL is achieving a new level of quality in automated document processing.

“Thanks to Cognitive Classifier and ILFO, we’ve been able to crack even the toughest nuts in input management, making a significant leap forward in process automation. It’s great to be able to implement new AI technologies in close collaboration with the manufacturer.”

    Business Analyst, IDEAL Insurance Group

    Project Overview

Recognition Rates Increased to Nearly 100%

The Cognitive Classifier increased recognition rates for document classes that had previously been difficult to classify by about 15 percent—to nearly 100 percent. By combining image and text information, it can now reliably process certificates, photo attachments, and notarized documents automatically.

97% of death certificates are read fully automatically

The test using the “death certificate” document class—one of the most challenging types of documents due to watermarks and poor scan quality—achieved an automated recognition rate of 97 percent. Manual intervention was required in only 3 percent of cases.

Case-Closing Processing Directly in the Inbox

Simple tasks such as address changes or updates to bank account information are now completed directly within the input management system upon the first interaction with the document—without being forwarded to downstream processes.

    What was the
    initial situation?

    • More than 500,000 documents totaling approximately one million pages annually—with a wide variety of input channels and formats
    • A high proportion of handwritten documents and significantly declining scan quality due to policyholders’ use of self-service photo scanning
    • Documents such as marriage, birth, and death certificates offer few distinguishing textual features—and with legibility further compromised by watermarks, automatic classification has been difficult until now
    • A desire to complete simple processes at the first point of contact with the document

    Why the decision
    Insiders?

    • Long-standing partnership: smart INVOICE has been successfully in use since 2004 (now e-invoice pro) and smart FIX since 2017 (now OmnIA)
    • Insiders Technologies proactively offered IDEAL the opportunity to test new product innovations—such as the Cognitive Classifier and deep learning OCR—on particularly challenging documents
    • Convincing test with death certificates: 97% automated recognition rate—the result led to company-wide adoption for all document classes
    • A unified platform instead of a heterogeneous mix of various standalone solutions

    How was the solution implemented?

    • Introduction of the Cognitive Classifier: Combined image- and text-based classification using NLP, deep learning, and transformer networks
    • Integration of the Integration Layer for OCR (ILFO) to enable flexible integration of various OCR components depending on the use case
    • Introduction of a deep learning-based OCR for improved recognition of low-quality photos, faxes, scans, and handwritten documents
    • Pilot test using the “death certificate” document class prior to a company-wide rollout for all document classes

    How can success
    be measured?

    • Recognition rates for document categories that were previously difficult to process have increased by about 15 percent—to nearly 100 percent
    • 97% of death certificates are correctly processed fully automatically
    • Handwritten documents are processed with significantly greater precision than before thanks to deep learning OCR
    • Case-closing processing of simple transactions is implemented directly within input management
    • Significant increase in the level of automation throughout the entire process
